Purpose
To quickly locate the best appointment options for new clients or rescheduling current clients, using real‑time availability, cleaner openings, job type, client location, and smart routing.
0. Types of Cleanings
Use this list when matching a job to the right opening:
- 2‑Day Deep Clean
- Day 1: Kitchens + bathrooms
- Day 2: All remaining living areas
- Requires large blocks or all‑day availability
- Move‑Out Clean
- Full top‑to‑bottom clean
- Includes inside oven, fridge, cabinets, baseboards, fans, surfaces
- Always schedule as an all‑day block
- Best assigned to cleaners with no other jobs that day
- One‑Time Clean
- General clean unless otherwise specified
- Usually 2–4 hours
- Initial General Clean
- First visit for a new recurring client
- Takes 1–2 hours longer than maintenance
- Not a deep clean
- 3‑Hour Priority Clean
- Client chooses the top areas
- Fixed 3‑hour block
- Maintenance Clean
- Weekly, biweekly, or monthly
- Standard time based on home size

0.5. How to Check the Client’s Location (Area of Reno)
Before scheduling any appointment:
A. Click on the Client’s Name
- When you hover over or click the client in Customer Factor, a pop‑up window will appear.
- This pop‑up shows:
- Their address
- The area of Reno they are in
- Notes, job type, and any special instructions
B. Confirm the Area
- Look for the neighborhood or region listed (e.g., South Reno, Northwest Reno, Sparks, Spanish Springs, Midtown, etc.).
- This helps you match them with cleaners already working nearby.
C. Check the Map
- Always click View Map or open the address in Google Maps.
- Confirm:
- Exact location
- Nearby cross streets
- How far they are from other clients on the cleaner’s route
- This prevents inefficient scheduling and long drive times.
D. Use Location + Job Type Together
- Combine the client’s area with the job type to choose the best cleaner and time slot.
1. For NEW CLIENTS
Step-by-step
- Go to the Scheduling section in Customer Factor.
- Click Find Appts. Nearby.
- Adjust the filters:
- Schedule within: 30 days
- Show no more than: 20 clients
- Miles: 15 miles
- Assigned to: leave open until you review availability
- Review the current jobs that appear in the list.
- Match the new job with openings by considering:
- The type of cleaning
- The time needed
- The client’s area of Reno
- The geographic flow of the cleaner’s day
- Choose the best-fitting appointment and schedule.
2. For RESCHEDULING CURRENT CLIENTS
Use the same steps as above, with one added focus:
- Make sure the new time slot still fits the client’s usual job length, frequency, cleaner pairing, and location.
3. How to Spot Cleaner Availability (Tips)
A. Look for “All-Day” Openings
Perfect for:
- Move‑out cleans
- 2‑day deep cleans
- Large one‑time cleans
B. Look for Morning Openings
If the cleaner’s first job starts after 11 AM, they have a morning gap ideal for:
- 3‑hour priority cleans
- Small maintenance cleans
- Short initial cleans
C. Look for Afternoon Openings
If the cleaner’s last morning job ends before 11:30 AM or 12:30 PM, they have an afternoon gap ideal for:
- Medium maintenance jobs
- Monthly cleans
- One‑time cleans near their last morning client
D. Study the Calendar — the Whole Month
Scan the entire month to identify:
- Light weeks
- Natural gaps
- Days where the cleaner is already in the same neighborhood
- Patterns of early finishes or late starts
E. Match by Area
Always prioritize cleaners already working near the new client to reduce drive time and keep the day efficient.
